POSITION: Sales & Catering Events Intern

LOCATION: Westchester Country Club | Rye, NY

DEPARTMENT: Sales & Catering

COMPENSATION: Non-Exempt (Overtime eligible), hourly compensation

 

POSITION OBJECTIVES:

The Sales & Catering Events Intern shares the responsibility for in-office duties for the most profitable segment of our business. While maintaining a professional attitude and welcoming personality, the Intern must have a passion for hospitality, such as planning and executing flawless events. Events begin with the first inquiry and end with the invoice accompanied by a thank you note. Catering in a Private Club is business within a business, therefore the Catering Events Intern must possess excellent customer service skills.

ESSENTIAL JOB FUNCTIONS:

•    Act as First Point of Contact for event inquiries

o   Answer phones and email inquiries

o   Qualify all request for the use of the club

o   Maintain familiarity with Delphi Sales System (Training will be provided)

o   Confirm that they are members or sponsored by a member

o   Decide what date and room works for both the member as well as the club

•      Assist on all Club Events

o   Work registration for Member events, including Golf events and Holiday celebrations

o   Work alongside the chairperson and Sales Manager involved with each event

o   Create buffet signs, printed menu cards, etc.

•      Create Banquet Event Orders for Catering/Special Events

o   Prepare BEO’s in a timely fashion

o   Perform essential Administrative Duties, involving proper spell check, proper grammar and correct menu and set up items listed in order

•      Track and receive all deposits, creating invoices based on BEO details

•      Assist with set up and supervision of all Club/Catered/Special Events, ensuring the Guest experience is delivered as promised, and communicating with Sales Managers, Banquet Director and kitchen staff to assist as needed

•      Assist in creating an environment of smart sales, including but not limited to:

o   One entrée events

o   Spinning off menus to help with production

o   Ensuring profit maximization and expense minimization for prospective large events through frequent communication with Banquet Chef

o   Working with Banquet Service Managers to ensure the highest level of service

o   Continue to manage and improve deposit policy

o   Ensure efficient use of Delphi

o   The BEO meeting should have close to accurate guest counts for the following 10 days

 EDUCATION AND EXPERIENCE:

  • High school diploma required
  • The ideal candidate is currently pursuing an Associate’s or Bachelor’s degree in a Hospitality or Management based program
  • Previous administrative experience preferred
  • Previous experience in a similar luxury establishment a plus
  • Food & Beverage experience a plus

  • Occasional walking up to 2 hours per day
